And, if the employee is on vacation, they can create a greeting that notifies callers how long they will be gone and when they hope to return.
Professionally Recorded Greetings
Some providers offer professionally recorded greetings for a one-time fee (typically $50). That way a business can sound like a Fortune 500 company, even if they're not. The business writes the script (with helpful suggestions from the provider), picks the right voice talent and music for their message, and the provider handles the rest. After that, a professionally recorded message will be available in about 7-10 business days.
Many service providers offer a voicemail-to-email feature, which is a great solution for telecommuting employees. Any time an employee receives a voicemail they will also receive an email alerting them to the new message. Additionally, some providers offer an option to receive the actual voicemail message as an email attachment. Using any device that transmits audio (i.e. computer, smartphone, tablet) they can listen to the MP3 file, and also save it for later review.
In addition to the MP3 option, some business VoIP providers offer a feature that sends a transcription of the voicemail message to the employee. This is a full text version of the voicemail delivered directly to the employee's email so that, in the event the employee can't listen to the message, they can read it instead.
